Asset Captions and Triggers
Asset Captions are user-defined fields on the asset record that allow you to record additional information about the asset.
Triggers allow you to keep track of when events related to plant or vehicle assets are due. Triggers expire when certain criteria are met (for example, when a vehicle has reached a given mileage or when a plant item has been used for a given number of hours); when a trigger expires, this indicates that an event (such as a service or an insurance renewal) is due.
Triggers and captions can be used independently of each other. However, triggers can also be linked to captions, so that you can update multiple triggers from a single caption. For example, there might be various things you want to do to a plant item depending on the number of hours it has been used, such as an inspection, changing oil, or changing filters. These may happen after different periods of use, and could all be set up as separate triggers which are updated from an "hours use" caption.
To get the full benefit of trigger functionality you need the data kept up to date, and the entry should happen as part of day to day processing, rather than as a tandem process. To this end you can set captions to be updated at various points during the hire cycle, for example as part of dispatch or return. Some triggers are date-based so have no need to input the current value.
Asset Captions
Captions are fields that allow you to record information about an asset that would not normally be held in the Coins ERP+ system as standard, and for which fields are not provided.
Captions on their own are for information only; you can enquire and report on them, but there is no processing associated with them. However, you can link asset captions to triggers, so that when you update a caption, Coins ERP+ updates the triggers linked to it. This means Coins ERP+ can issue warnings, or stop users selecting the asset, when certain expiry conditions have been met (for example, when a service or insurance renewal is due).
To set up captions:
Set up caption groups (using Caption Maintenance to set up Captions.
The Group and Type you select on the caption govern the additional tabs available after you click Save.
For character captions, you can update a list of allowable values. If you want to allow any value (in other words, to make the caption a free-text field) leave the list blank.
For captions that belong to groups configured as Update or Warn, specify which functions allow you to update the caption: Dispatch, Return, Workshop job card, Timesheet, Daily Timesheet, Picking List Workbench.
For captions that belong to groups configured as Update, add the triggers.
Workshop job card already allows update of an Odometer field. If you want to use the odometer reading to update a trigger, use a caption for odometer and ignore (or hide) the existing Odometer field.

If both of these are blank, Coins ERP+ uses the default on the caption.
