You can enter cash receipts and apply the cash by invoice number or certificate reference if you do not know the customer or contract. A tab is available in Quick Cash Receipts to allow you to do this.
You also can enter multiple receipts against a single invoice or certificate in one batch.
Parameters
The following CB parameters affect entering receipts by invoice number.
Parameter | Description |
SECTRDGL | Whether to sectorise the discount GL amount when entering Quick Cash Receipts by invoice number or customer reference. If this is set to Y, Coins ERP+ masks the discount GL amount with the sector from the invoice. |
SECTUNAL | Whether the sector needs to be assigned when entering customer cash transactions in Quick Cash Receipts. |
Entering Receipts by Invoice Number
In Quick Cash Entry, the Enter by Invoice Number tab allows you to enter and allocate cash using the invoice number or certificate reference.
The top panel allows you to enter the cheque number, cheque date, deposit date, reference, cheque amount, sector (if configured) and currency. Fields on the right-hand side show the allocated and unallocated amounts. This panel corresponds to the cheque header.
Beneath this is a panel that allows you to enter the cheque analysis lines. For each line:
Enter an invoice number. Coins ERP+ validates this against the available open AR invoices and CS certificates. If there is more than one open invoice or certificate with the invoice number you entered, you must use the lookup to select the invoice or certificate.
Enter values for the amount to be applied, the discount to be taken, and (for AR invoices only) the discount GL account. You can use the action Pay Invoice or Certificate to auto-fill the amount and discount fields.
When you have entered all the analysis lines, click Save.
If the allocation results in the receipt being over-allocated, an error message will be displayed.
If the receipt is partially allocated, a warning message will be displayed to inform you that pressing Continue will create a customer cash record for the portion of the receipt that has not been allocated. (If the new CB parameter SECTUNAL = Y and SL/SECTLED = N, enter the sector that will be assigned to the customer cash record.)
You can allocate multiple receipts to a single invoice or certificate in the same batch. The value of the un-posted payments allocated against the invoice or certificate will be summed and displayed, and if the value exceeds the balance of the invoice or certificate an error message will be displayed.
CB Transaction Entry
If SL/SECTLED = N and CB/SECTUNAL = Y, when entering the cheque header for any customer cash record you are prompted to enter a sector code. This will be used to group customer cash by sector on ageing reports.
