Paid Leave and Leave Requests

Most companies require that employees submit requests for time off. Employee Self Service allows employees to submit request for Leave and for managers to review the requests.

Setup

Human Resources needs to be set up to allow for Leave Requests to be initiated. The following section describes the setup required to support Leave Requests in Employee Self Service.

Lookup Codes

The following updates need to be made to Accrual Plans to allow for Leave Requests.

Assign Entitlement Type for Accrual Plans in Accrual Plan Lookup Codes under Human Resources > HR Maintenance > Benefits > Lookup Codes. Multiple Plans can be linked to a single entitlement type.

Define Leave Request Reasons under Human Resources > HR Maintenance > Lookup Codes. Use the selector to find HR Holiday Reason. Be sure to define the Entitlement Type. A Holiday Reason should be either paid or unpaid, do not set a reason to both.

Holiday Authorisers

Define the person or persons who can authorise leave requests.

  1. In the Personnel Workbench, designate who are considered Directors, Managers, and Supervisors.

  2. Assign Directors, Managers, and Supervisors to employees in the Personnel Workbench, and designate which of the superiors will be responsible for approving leave requests. The list is not hierarchical.

Using Leave Requests

Once setup is complete, employees will be able to start initiating leave requests within Employee Self Service.

Select the Leave Request tile from the Desktop or RUI version of ESS. Enter the date or dates of leave requested. Leave may be requested in half-day increments.

Once a request has been submitted, the person(s) designated to review the requests will receive notification that a new request has been submitted.

Requests can be reviewed, approved or denied by clicking on the link provided in the email or on the Activity Workbench or by launching Approve Holiday from Employee Self Service.
